The Ministry of Health recently introduced Ontario Regulation 364/20, the “Rules for Areas in Stage 3,” a regulation under the Reopening Ontario Act, 2020. All businesses are now required to screen every employee and essential visitor before they are permitted into a workplace. “Employees” are defined as staff (also known as salaried workers), students, contractors or volunteers that conduct business or related activities. In addition, this regulation covers “essential visitors,” defined as individuals providing a service in the establishment who are not employees or patrons of the establishment (e.g., delivery, maintenance and contract workers).

“Ontario is a step ahead of many regions with its new screening regulation. The reality of putting this into practice presents significant challenges. There’s a lot at stake to get this right, and it’s not enough to rely on paper checklists or ad-hoc systems for managing employee and essential visitor entry,” said Keith Metcalfe, CEO at Traction Guest. “Our technology makes it possible for businesses to easily integrate the new mandate into existing workflows and complex environments while demonstrating proof of compliance. This enables them to meet the new regulatory requirements and fulfill duty of care responsibilities in the wake of COVID-19.”

Now Businesses Can Take Immediate Action to Meet Ontario’s New COVID-19 Regulation

The Traction Guest Ontario Compliance Safe Employee Solution allows businesses to implement new protocols from a single platform. It is highly customizable with a myriad of options and workflows for creating registration and screening processes that best align with business needs.

Prior to entering a workplace, employees are invited to register via the Traction Guest system. Next, they are presented with the Mandatory Ontario Screening questions. Employers can incorporate additional items into the screening process – NDAs, waivers, safety videos and more – all of which can be presented for audits, used for future communication or analyzed for risk policy development. If the employee successfully passes the screening, a unique QR code is issued to allow validated entry into a facility.

Traction Guest’s solution offers flexible options for these workplace entry scenarios and more:

  • Onsite Walk-Up Registration: ensures mandatory onsite screening in cases where pre-screening is managed elsewhere
  • Online Self-Serve Registration: employees and essential visitors register ahead of coming onsite and are prescreened offsite, minimizing non-essential and non-approved time on premises
  • Managed Site Access: enables Environment Health & Safety officers, Security or other team leaders to initiate screenings, restrict location-specific access, support employee workplace bubbles and manage granular capacity planning
  • Scheduled Access: makes it simple to provide individualized schedules and centrally coordinate across facility populations of any size, delivering tight control over the time and place people can enter
